About the Company

A dynamic PA role that will support two Directors within a market-leading construction and quantity surveying company.

Our client has a proud history spanning over 60 years, and being involved on most major developments in Auckland – including the iconic Sky Tower, The University of Auckland, AUT, and ASB’s head office on Wynyard Quarter.

About the Role

This full-time traditional support role will be pivotal in ensuring operational excellence. Some of the Directors you will be supporting have not previously worked with a PA, so you will be an expert at self-managing from the get-go, providing direction on where and how you can best support. It will require resilience, and the ability to proactively prioritise. ‘Busy’ doesn’t begin to describe the level of calendar coordination which will need to be managed efficiently and decisively!

provide diary management, resolve meeting conflicts, and prioritise in a timely manner

provide correspondence on behalf of the Directors, by screening all inward communications and acting on issues quickly

liaise with Senior Executives internally and externally providing a highly professional service

provide administrative support, including preparing documentation and filing on behalf of the Directors, eg travel expense claims, stationary orders, briefing papers

provide board level secretarial support for management and shareholder meetings, including agenda development, minute taking, report and presentation preparation, arranging facilities, social events, accommodation and catering

anticipate information and organisational needs of the Directors, ensuring adequate preparation and arrangements are made for all upcoming meetings

continually explore ways to enhance own and directors’ ways of working

About You

Coming from a previous PA role, you will have strong commercial acumen and highly professional communication skills. You may often correspond on behalf of the Directors, so you must be able to assess situations appropriately and communicate using a balance of facts and intuition.

You will take pride in your ability to seamlessly organise and coordinate every aspect of the busiest day, truly acting as a ‘right hand’ to those you support. You will be able to commit to full time hours of Monday – Friday 8.30am – 5pm with a 30 minute lunch break.

You ideally have

Strong communication skills with attention to detail and high emotional intelligence

Experience in minute taking and providing board-level secretarial duties

Resilience to work within a fast-paced, high pressure environment

Resilience to work within a fast-paced, high pressure environment

A ‘roll up your sleeves’ proactive attitude

Experience within the construction industry, as an advantage but not a must

You will also have key technical skills to deal with Outlook mailboxes receiving a high volume of emails, as well as prepare complex Powerpoint Presentations, letters and memos within Word, and manipulate data for graphs in Excel.
