We are searching for their Studio Administrator! This role is a full-time position, Monday to Friday – This role is to provide visitors with a superior bespoke experience in their Auckland studio, and to ensure a warm and professional front of house and in-studio experience.

What you’ll deliver

Your primary focus is to work closely with the Sales and Marketing teams to provide a professional VIP experience for visitors, in collaboration with the team. This will include executing successful events both within our studio and externally. You will also ensure their studio is a professional workspace that reflects their values. You will also provide support to our team to keep the business running smoothly. This role also covers the reception desk on Fridays.

What you’re responsible for

End to end coordination of visitor experience, from initial coordination, communication and bookings, through to clean up

Greeting clients and guests in a way that embodies the Unispace culture and values

Coordinating meeting requirements – anticipating what is required and managing preparation

Coordinating and organising events

Exercising discretion and confidentiality

Providing accurate and high-quality administrative support when required

Streamlining and implementing visitor experience offering to increase efficiency, effectiveness

Managing Front of House including maintaining all needs for visitors

Forming effective relationships with key internal and external stakeholders

Collaborating across teams and Unispace studios

Managing key external vendor relationships where relevant

Contributing to the creation of a high performing, innovative team environment

and report risks to Health & Safety Manager/People & Culture BP whilst operating in compliance with safe and ethical practices

Ensure Front of House and Auckland studio space is maintained to a high standard at all times

Greet team and guests in a way that embodies the Unispace culture and values

Manage phone system including incoming calls and voicemail

Manage studio supplies which includes ordering, stocking and maintaining all needs for team members (stationery, groceries, alcohol etc.)

Ensure shared spaces and meeting rooms are clean and tidy, doing regular sweeps of Studio and filling/emptying dishwasher
