The Service Administrator plays is critical role in delivering exceptional customer service to internal and external clients. The main objective for the Service Administrator is to provide administrative support to the Workshop as required and ensure the smooth, safe and profitable running of the Service Department.
Key Responsibilities
Providing exceptional service to customers and visitors in a professional and friendly way
Maintaining operational quality and efficiency
Assist in the coordination of workflow
Opening of work orders and their compilation and invoicing
Drafting quotes, repair ordering and warranties, creating purchase orders and working with the Parts Team
Coordinate receipting, sorting, distributing, packing and labelling, arranging couriers and distribution of information as required
Providing administrative support to the Service Team
Assisting with customer responses, booking of jobs, filing, maintaining records, databases, contact lists and registers, photocopying, typing, processing employee wage sheets, and providing backup support for other administration roles
Providing administration support for Health and Safety processes
Helping to develop and maintain local procedures, organising meetings, coordinating audits and inspections, assisting with solving issues, tracking corrective actions and incident data, progress chasing and checking completeness of incident reports, assisting with evacuation drills, maintaining fire warden equipment and documentation, auditing personal protective equipment, and assisting with induction of new staff.
This role will suit an individual who
Has excellent formal and informal written and verbal communication skills
Are efficient and accurate in completing tasks and has excellent attention to detail
Has excellent time management skills and can prioritise
Has highly skilled capability with core Microsoft packages and familiarity with systems such as CRM
Has accurate data entry skills
Understanding of mechanical environments and the importance of health and safety in busy technical environments
Has a willingness to learn and able to adapt to new systems, technology and processes
