Job Description:

Our client, a market leader in the Automotive Industry, is looking for a strong Administrator with experience in Sourcing and Imports to join their Procurement and Logistics team.
The key function for this role is to support the Parts Administration Team Leader with the sourcing of products, the maintenance of the parts database and updating the system with new orders.
Key duties include
Dealing with suppliers in Singapore
Ordering of customer back-orders from suppliers abroad
Creating of Import Costings for incoming shipments and receipting of goods
Receipting key shipments and release these key backorders promptly for the Warehouse Team to dispatch promptly
Handle both internal and external customer enquiries efficiently and effectively such as price and availability, creation of new part numbers, overseas freight charge quotations, obtain data cards, ensure prompt and appropriate actions are taken for all enquires/issues
Ensure Parts Sales Team is advised of problem items/cancelled items and delays with customer orders
Advise customers of any backorder & shipment delays and supply issues
Actively and constantly follow up with Freight Forwarders with shipment progress in order keep the Warehouse team, Purchasing and Sales team, and Dealers updated
Communicate and constantly follow up with overseas and local suppliers and the resolution of issues
Monitor and keep the item replacements journal up-to-date
Reconcile open purchase orders regularly and control lead time for overdue items, monitor requisition worksheets and also dealer credit memos for return of workshop keys
Assist with discrepancy reporting and lodging claims with vendors as required
Provide back-up for Parts Administration team duties on day-to-day functions, step up as required when staff on leave/sick periods, demonstrate willingness to cross-training within team
Assist with special projects as required, and fine-tune/update processes regularly
Ensure consignments conform with freight forwarders
100% compliance to Health & Safety and Company policies and procedures
Minimum requirements
Previous experience in imports and coordination in a logistics field essential
Strong relationship and interpersonal skills
Mandarin speaking would be ideal
High level of administration skills
Exceptional customer service and relationship management skills
Sound knowledge of Microsoft Word and Excel packages – essential
Expereince on INCADEA advantageous
