Job Description:

My client own’s, develop’ s and manage’ s industrial real estate globally including logistics facilities, warehouses and business parks. Their investment Partnerships give institutional investors access to their specialist investment management services and commercial and industrial property assets.

This position is a hybrid role which encompasses Office Management responsibilities – this role is based on their Reception desk. The sole purpose of this role is responsibility for the professional management of the Reception and the Auckland Office.

Overlooking Viaduct Harbour and close to the recreational opportunities of Victoria Park, their city office sets a new benchmark for refurbished business space.

Key responsibilities include

Meet and greet visitors, offering tea, coffee and water and ensuring each visitor signs into Sine Pro and the government Covid-19 QR code.

Answering the main reception number and providing back up to the overflow calls from Goodman Service Desk

Organising couriers, opening and distributing mail

Book meeting rooms and check rooms are always cleared and reset after meetings

Arrange catering for meetings where required

Using InDesign to edit proposals for the Development, Property and Marketing Team (training will be provided)

Updating phone lists

Booking all travel arrangements for staff members (flights and accommodation)

Reconciling the office Mastercard each month

Monitoring, coding and checking invoices for all office related expenses

Making sure stationery supplies are adequate

Assist with overload bulk printing/photocopying, binding

Identify and appoint all required suppliers and service providers

Good Microsoft Office skills – Word / Excel etc – they will teach you in-design

An eye for detail – you are diligent in seeing the unseen, nothing slips past you when it comes to customer needs, office management or project tasks and documentation
